DocuLink SA manages your entire South African document application on your behalf - from your first click through to delivery at your door. Our local South African team handles every interaction with SAPS, Home Affairs, DIRCO, SAQA, Umalusi and the Department of Transport so you never have to. Here is exactly what happens at every stage.
Create your account, select your service and upload your document scans via your secure client portal. Takes about 10 minutes. No paperwork posted yet - everything is digital at this stage.
Before you start
You will need original ink fingerprints taken on a SAPS 91(a) form at a local police service or accredited fingerprinting bureau. Book this appointment first - you will need the completed fingerprint form to proceed with your application.
Create your account and fill in your details
Enter your contact details, country of residence, the document you need, the number of applicants and your delivery address.
Upload your document scans
Upload your SAPS application form, fingerprint form and a certified copy of your ID or passport. Digital uploads only at this stage - no originals posted yet.
Pay your all-inclusive service fee securely. Once our team verifies your uploaded documents you receive your prepaid DHL courier label at no additional cost.
Complete your service fee payment
Pay securely through your client portal once your application details are submitted.
Your prepaid DHL label is issued after document verification
Once we have reviewed and approved your uploaded documents, a prepaid DHL waybill addressed to our South Africa office is generated and sent to your email. Download it from your portal at any time.
Our local South African team reviews every document you have uploaded for accuracy and completeness. If anything needs correcting we contact you directly before a single original is sent. Typically completed within 1 to 2 business days.
We check every document for completeness
We review your uploads for certified copy requirements, correct form completion and name consistency across all documents.
We contact you if anything needs correcting
If a document needs correcting we reach out directly. Nothing moves to the next stage until everything is confirmed.
Use your prepaid DHL label to send your original documents to our South African office. International transit is typically 3 to 4 business days. Note: digital-only services (SAQA Verification and Driver's Licence Confirmation Letter) skip this step entirely.
Print your label and drop off at DHL
Place your original documents in an A4 envelope, attach the label and hand it in at your nearest DHL service point.
Confirm drop-off in your portal
Let us know once you have handed over to DHL. Tracking updates automatically from that point - no receipt upload needed.
Our local team lodges your application directly with the relevant South African authority - SAPS, Home Affairs, DIRCO, SAQA, Umalusi or the Department of Transport. We monitor progress and send you regular updates via your portal throughout the entire processing period.
We submit to the relevant authority
On receipt of your originals we lodge your application with SAPS, DHA or the relevant authority. We confirm submission by email.
We monitor and update you
Processing times are set by the authority and outside our control. We follow up proactively and notify you of every update as it happens.
Your completed certificate or verification is delivered to your door worldwide via DHL Express. A digital copy is also uploaded to your client portal and sent to your email. Fully managed from start to finish.
